How Rail Auto Canada Inc. collects, uses, and protects your personal information.
Introduction
Rail Auto Canada Inc. (“Rail Auto Canada,” “we,” “us,” or “our”) is committed to protecting the privacy of our clients and website visitors. This Privacy Policy explains how we collect, use, disclose, and safeguard your personal information when you visit our website at railautocanada.ca, use our client portal at shipmycar.railautocanada.ca, or engage our vehicle shipping services.
By using our services or accessing our website, you consent to the practices described in this policy.
Information We Collect
Personal Information You Provide: When you request a quote, book a shipment, or contact us, we may collect: your full name, email address, phone number, mailing or home address (for pickup or delivery scheduling), vehicle information (year, make, model, VIN), payment information (processed securely through our payment provider — we do not store credit card numbers), and government-issued photo ID (verified at terminal drop-off and pickup only — not stored digitally).
Information Collected Automatically: When you visit our website, we may automatically collect: IP address, browser type and version, device type, pages visited and time spent on each page, referring website, on-page interactions such as clicks, taps, and scrolling (captured by the analytics and session replay tools described in the “Cookies, Analytics & Session Replay” section below), and cookies and similar tracking technologies.
How We Use Your Information
We use the information we collect to: process and fulfill your vehicle shipping booking, generate quotes and manage your account in our client portal, communicate with you about your shipment status via email and SMS, send automated notifications at each stage of transit, process payments securely, improve our website and services, respond to your inquiries and provide customer support, comply with legal and regulatory obligations, and send you marketing communications (only with your consent — you can opt out at any time).
How We Share Your Information
We do not sell your personal information. We may share your information with: our contracted rail carriers and local transport providers as necessary to fulfill your shipment (only the information they need to pick up, transport, and deliver your vehicle), payment processors to securely process your transactions, service providers who help us operate our website, portal, and communications (email, SMS), analytics and session replay providers (Google and Microsoft, as described in the “Cookies, Analytics & Session Replay” section), and legal authorities if required by law, regulation, or legal process.
All third parties with whom we share information are required to protect your data and use it only for the purposes for which it was shared.
Vehicle Condition Data
As part of our service, we photograph and document the condition of your vehicle at check-in (origin terminal) and at delivery (destination terminal). These records are used for insurance and claims purposes and are retained for a reasonable period following delivery. They are not shared publicly.
Tracking and Communications
When you book a shipment, you will receive automated email and SMS notifications at key milestones (vehicle received, loaded, in transit, arrived, ready for pickup). You can view your shipment status at any time through your personal portal at shipmycar.railautocanada.ca. You may opt out of marketing communications at any time, but transactional notifications related to your active shipment cannot be opted out of while a shipment is in progress.
Chat Assistant
Our website includes a chat assistant, available from the chat bubble on every page. Conversations you have in the chat — including any contact or shipment details you choose to share, such as your name, email address, phone number, route, and vehicle information — are transmitted to and stored in our booking platform at shipmycar.railautocanada.ca so we can prepare quotes, respond to your questions, and follow up with you. The chat may be handled in whole or in part by an automated (AI) assistant, and conversations may be reviewed by our team for quality and support purposes. Please do not share payment card numbers or other sensitive financial information in chat.
Cookies, Analytics & Session Replay
Our website uses cookies and similar technologies to improve your browsing experience, analyze site traffic, and understand how visitors interact with our site. You can control cookie preferences through your browser settings; disabling cookies may affect certain features of our website.
Google Analytics: We use Google Analytics to measure site traffic and understand which pages and routes visitors find useful. Google processes this data in accordance with the Google Privacy Policy. You can opt out with the Google Analytics Opt-out Browser Add-on.
Microsoft Clarity: We partner with Microsoft Clarity and Microsoft Advertising to capture how you use and interact with our website through behavioral metrics, heatmaps, and session replay to improve and market our products/services. Website usage data is captured using first and third-party cookies and other tracking technologies to determine the popularity of products/services and online activity. Additionally, we use this information for site optimization, fraud/security purposes, and advertising. For more information about how Microsoft collects and uses your data, visit the Microsoft Privacy Statement. Clarity masks sensitive on-screen content, such as text typed into form fields, by default before session recordings reach us.
Data Security
We implement reasonable administrative, technical, and physical safeguards to protect your personal information from unauthorized access, use, or disclosure. Payment information is processed through secure, PCI-compliant payment providers. However, no method of transmission over the internet is 100% secure, and we cannot guarantee absolute security.
Data Retention
We retain your personal information for as long as necessary to fulfill the purposes for which it was collected, including to complete your shipment, process claims, comply with legal obligations, and resolve disputes. Quote data for unbooked inquiries is retained for a reasonable period to enable follow-up and then deleted.
Your Rights
Depending on your jurisdiction, you may have the right to: access the personal information we hold about you, request correction of inaccurate information, request deletion of your personal information (subject to legal retention requirements), withdraw consent for marketing communications, and request a copy of your data in a portable format.
To exercise any of these rights, contact us at the information below.
Children's Privacy
Our services are not directed at individuals under the age of 18. We do not knowingly collect personal information from children. If we become aware that we have collected information from a child, we will take steps to delete it.
